4.1By signing up to a membership, you authorise us (and/or our payment processor) to take recurring payments from your nominated bank account or card for the relevant membership fees from the agreed start date.
4.2Memberships are non-transferable and non-refundable. You are responsible for all payments due until your membership is properly cancelled in line with these Terms.
4.3All monthly fees must be paid in full, regardless of usage. Not attending does not entitle you to a refund, credit or extension.
4.4Price changes: We reserve the right to change membership prices. We will give you at least 30 days’ notice of any increase. If you do not wish to accept a price change, you must cancel your membership in line with clause 4.7 before the increase takes effect.
4.5Billing dates: Membership fees will be collected on or around your designated billing date (e.g. the end or 15th of each month, or as otherwise agreed).
4.6Membership Freeze / Hold
4.6.1You may request to place your membership on hold/freeze only for a valid reason, such as:
- illness or medical condition that prevents you from training;
- injury that prevents you from training;
- pregnancy or post-natal recovery;
- other exceptional circumstances at our discretion.
4.6.2We may request supporting evidence (for example, a doctor’s note or medical letter) before approving a freeze.
4.6.3A freeze will be granted for a minimum period of 1 month and a maximum of 6 months, and an administrative fee of £5 per month will apply unless otherwise stated.
4.6.4Freezes will not normally be granted for reasons such as holidays, change of work pattern, lack of motivation, or simply “not using” the membership.
4.6.5Any approved freeze pauses your billing and membership access for the agreed period. You will resume payments, and access will automatically restart, at the end of the freeze period unless you cancel in line with clause 4.7.
4.7Cancellation of membership:You may cancel your membership at any time by giving us notice in writing (email is acceptable).
Your membership will terminate 30 days from your next scheduled payment date, not from the date you notify us. This means that, after you give notice, one further monthly payment will usually be taken, and your membership will remain active until the end of that paid period.
ExampleIf your membership payment is taken on the last day of each month and you email to cancel on the 15th, your next payment will still be taken at the end of that month, and your membership will then terminate one month from that payment date.
- Any outstanding fees during the notice period remain payable.
- If you cancel a membership that was on a special deal/offer we no longer offer, you will not be entitled to re-join on that old offer in the future.
4.8Waiting list: In the event that the gym becomes full to capacity, we may operate a waiting list. If you cancel your membership, your space may be offered to the next person on the waiting list. You may then need to join the waiting list if you later wish to re-join.
4.9We reserve the right to refuse membership or admission, or to withdraw membership, where a member’s conduct is detrimental to the gym, staff or other members.
4.10Session Packs (10 & 20 Session Packs)
4.10.1Session packs (including 10-session and 20-session packs) are sold as pre-paid bundles and are valid for the period stated at the time of purchase on WodBoard or our website.
4.10.2Sessions are non-refundable and non-transferable. Any unused sessions remaining after the expiry date will be lost and cannot be refunded or credited.
4.10.3If you need to pause or extend a session pack, this will only be considered for a valid reason, such as illness, injury, pregnancy/post-natal recovery, or other exceptional circumstances at our discretion.
4.10.4We may request supporting evidence (for example, a doctor’s note or medical letter) and are not obliged to grant an extension.
4.10.5Where we approve an extension to a session pack, we will extend the expiry date by an appropriate period to reflect the time you were unable to train. Extensions will not normally be granted for reasons such as holidays, changes in work pattern, or simply “not using” the pack.
4.10.6Drop-in sessions (single visits) cannot be frozen or extended and are valid only for the booked date/time.
